CODE OF CONDUCT / MUTUAL RESPECT STATEMENT
Our work together is built on a foundation of mutual respect, compassion, and trust. I am committed to creating a training space—virtual or in-person—that honors your body, your lived experience, and your autonomy. I ask that we both show up with the following shared values in mind:
1. RESPECT ALL BODIES
This is an inclusive and body-neutral space. All bodies are welcome here—regardless of size, race, gender, sexuality, ability, or fitness level. We will not engage in toxic diet talk or body-shaming.
2. BOUNDARIES ARE HONORED
Your “no” is always valid. You are encouraged to speak up if something doesn’t feel right or if you need to pause or modify. I will also communicate my own boundaries clearly and respectfully.

3. OPEN COMMUNICATION
We’ll maintain open and honest communication. If something comes up—whether a question, a concern, or a need for support—I invite you to bring it to me so we can work through it together. Feedback goes both ways.
4. PUNCTUALITY & PRESCENCE
Time is valuable. I’ll arrive on time and prepared, and I ask the same of you whenever possible. Let’s commit to being fully present for the time we’ve set aside to focus on your wellness.
5. ZERO TOLERANCE FOR DISCRIMINATION OR HARASSMENT
Discrimination, harassment, or harm of any kind will not be tolerated. This is a shared responsibility—we create the safety of the space together.
PAYMENTS & PACKAGES
- PRICING & PACKAGES (as of APRIL 2025)
- $40 non-refundable deposit– This covers the cost of the our initial fitness assessment. This takes place before any exercise programming. The fee goes toward any session / package purchase.
Pricing for packages is as follows:

SMALL GROUP TRAINING- 2-4 PEOPLE
The base rate is $30 per person for a 60 minute session, 2-4 people. I offer a discount when sessions are purchased as a package for groups.

- ACCEPTED PAYMENTS
- Payment types accepted are credit/debit cards, PayPal, Venmo, and Zelle.
- PAYMENT DUE DATES
- There is a $40 deposit due for the fitness assessment. It must be paid prior to the date of the our scheduled assessment day. This is non-refundable. The $40 deposit is applied to any purchase of a session or package.
- Payment plans are available. Typically, your package can be divided up into either two or four (2 or 4) equal payments.
- Unless a payment plan has been arranged, payments for entire program are due in full when a training agreement has been signed.
- BILLING
- A digital invoice will be sent via PayPal, Venmo, or Zelle. This depends on client preference.
- PRICING CHANGES
- Sometimes, prices increase or decrease depending on various factors.
- Increases– Your session rate is locked in for the duration of the contract/agreement. I will NOT raise your prices while we are training together.
- If you decide to continue training with me after our agreement ends, you will be charged the new rate.
- Decreases- In the event a session package rate is lowered while you are training with me, I will refund you the difference.

- REFUNDS
- You have 5 business days after signing your coaching agreement to cancel your package. If you cancel during this window, you’ll receive a refund minus $40 deposit and 20% administrative fee. After this window, packages become nonrefundable, as your time slot and programming are reserved specifically for you.
SCHEDULING & CANCELLATIONS
- RESCHEDULING NOTICE
- A minimum of 24 hours’ notice is required to reschedule a session without losing that session. Sessions canceled with less than 24 hours’ notice will not be refunded or rescheduled.
- NUMBER OF RESCHEDULES ALLOWED
- You may reschedule sessions up to the number allowed based on your package:

- CANCELLATION & REFUND POLICY

- LATE POLICY
- If the client arrives more than 10 minutes late, the session may be canceled at the trainer’s discretion and will be counted as used.
- If the trainer is late for any session, the time will be made up at that session, or in a future session.
- ILLNESS OR EMERGENCY
- In the case of illness or emergency (client, trainer, or their families), sessions may be rescheduled but not refunded. Package timelines will remain the same and will not be extended.

COMMUNICATION BOUNDARIES
- HOW TO REACH ME
- You can reach me via email or text for scheduling questions or quick check-ins.
- Social media: I don’t monitor DMs or private messages for business communication and likely won’t respond there.

- RESPONSE TIMES
- Text messages: I’m available Monday through Friday, 10am–7pm. I may be with a client or on a break, but I’ll do my best to respond within the hour.
- Emails: Please allow up to 48 hours for a response. If your question needs more research, I’ll let you know when to expect a full reply.
- Weekends & Holidays: I reserve these for rest and encourage you to do the same. Messages received during these times will be answered on the next business day.
- EMERGENCIES / URGENT CHANGES
- For last-minute cancellations or schedule changes, please text me directly.
- You can also leave a voicemail—just know that I, like many millennials, may not answer unknown calls, so be sure to leave a detailed message.
- VIRTUAL SESSIONS & MEETINGS
- Virtual sessions follow the same scheduling and cancellation policies as in-person sessions (see previous section).
- If you need to discuss something that doesn’t fit in a text or email, I’m happy to schedule a virtual meeting. Meetings outside of your package may be subject to billing and charged at $40 per session.
VIRTUAL SESSION EXPECTATIONS
- TECH SET-UP
- Before your session, please make sure you have a reliable internet connection and access to a device (like a laptop or tablet) with a working camera and microphone. I’ll send a link to our meeting room ahead of time—usually Zoom unless we decide otherwise.
- YOUR WORKOUT SPACE
- Try to choose a space with enough room to move freely and safely. It doesn’t have to be fancy—just clear of clutter and distractions. If possible, position your camera so I can see your full body while you’re moving (especially during strength or mobility work). This helps me check your form and offer helpful cues.
- STARTING ON TIME & TECH GLITCHES
- Please log in a few minutes early so we can begin right on time. If something goes wrong with tech on your end or mine, don’t panic—just shoot me a text and we’ll figure it out. If we lose time due to tech issues on my side, we can add time to a future session. These things are beyond our control and technology is finicky.
- MINIMIZING DISTRACTIONS
- I know life happens—kids, pets, doorbells—but as much as possible, try to give yourself the gift of focus during our session. Treat it like you would if we were meeting in person.
- RECORDINGS & PRIVACY
- Our sessions will not be recorded unless we’ve discussed it beforehand and you’ve given me permission. Any recordings I provide (for reviewing movements, for example) will be stored safely and deleted if you ever want them removed.

PRIVACY & CONFIDENTIALITY

- YOUR INFORMATION IS SAFE WITH ME
- Everything you share with me—whether it’s about your health, goals, body image, schedule, or personal life—will be treated with the utmost respect and kept confidential. I will never share your information without your explicit permission OR unless legally required to do so (for example, if there is a concern of harm to yourself or others).
- SECURE STORAGE
- Any forms, progress notes, or communication we exchange are stored in password-protected systems or encrypted files. If we use a shared app or platform for workouts, progress tracking, or messaging, I’ll make every effort to keep that environment secure.
- HIPAA & HEALTH INFORMATION
- Although I take your privacy seriously and uphold strong ethical standards, I am not a licensed healthcare provider and therefore not considered a “covered entity” under HIPAA. That said, I aim to treat your information with the same level of care and discretion as any professional in your wellness team.
- SCOPE OF PRACTICE
- As a certified personal trainer through the American College of Sports Medicine (ACSM-CPT), I am qualified to create fitness programs, guide movement, and support general wellness goals. I do not diagnose, treat, or prescribe medical advice. If something falls outside of my scope, I’ll let you know and refer you to the appropriate professional.

- WHAT YOU SHARE SHAPES YOUR COACHING
- Open communication helps me better support you. You are always in control of what you choose to share, and your boundaries will be respected at all times.
- I do expect you to share any injuries you have, limitations that may put your health at risk if not acknowledge, or if you are experiencing any pain or weird symptoms during your workout. Your safety is my priority.
- PHOTO & TESTIMONIAL CONSENT
- If you ever choose to share a testimonial or allow me to use a photo (for social media or promotional use), I’ll always ask for your written permission first. You are never obligated to say yes, and you can withdraw your consent at any time—no questions asked.
SAFETY CONSIDERATIONS
Your safety — physical, emotional, and psychological — is my top priority. Whether we’re working in person or virtually, I aim to create a training environment that centers consent, autonomy, and care.

Here’s what that looks like:
- INFORMED CONSENT & LIABILITY WAIVER
- As part of our coaching/trainer agreement, you’ll be asked to sign a consent form and waiver acknowledging the physical nature of training, confirming that you’ve consulted your healthcare provider, and agreeing to release liability. This is standard and protects both of us.
- I will go over these forms with you and sign my own form for you, stating the following-
- My promise to design a program exclusive for you, using all the knowledge and tools I have
- Your safety and security are my priority during sessions
- I will keep open communication and transparency through our entire time together
- CONSENT IS CENTRAL
- I will always ask before offering physical touch or feedback. You have full permission to say no at any time.
- YOU ARE THE EXPERT ON YOUR BODY
- You’re encouraged to stop any movement or activity that causes pain, discomfort, or doesn’t feel right for you. I will offer alternatives or adjustments as needed.
- INDIVIDUALIZED APPROACH
- Programming is tailored to your needs, goals, and lived experiences—there is no one-size-fits-all in this space.
- TRAUMA-INFORMED PRACTICE
- I aim to create a space that honors your boundaries and supports your agency. You never need to explain why something doesn’t feel good—“no” is always enough.
- YOUTH CLIENTS
- A parent or guardian must participate in the intake process and remain reachable during sessions. Depending on age, supervision may also be required during in-person or virtual sessions.
- EMERGENCY PROTOCOL
- In the event of injury, illness, or an emergency during a session, I will take immediate action and, if appropriate, contact your emergency contact on file.
- OPEN COMMUNICATION
- If at any point you feel unsafe or uncomfortable, I’m committed to listening with care and taking steps to repair or adjust as needed. Your feedback is always welcome.
ATTIRE & EQUIPMENT

Here’s what you’ll need for our sessions:
- Clothing: Wear whatever helps you feel confident and move freely. Leggings, shorts, joggers, sports bras, layered tops—whatever works for you. I do not enforce a dress code.
- Shoes: Supportive sneakers are recommended for most strength or cardio-based sessions. If we’re doing yoga or mobility work, barefoot or socks with grip are totally fine.
- Water Bottle: Hydration is key. Bring water with you to each session.
- Yoga Mat (optional): If we’re doing mat-based work and you have your own, feel free to use it. I may have one you can borrow depending on the setting.
- Equipment: I’ll bring any gear needed unless otherwise discussed. If you’re doing virtual training, I’ll work with what you already have at home and help you adapt movements accordingly.
